Our transcriptionist runs into a problem where the attorney dictating adds a party to be cc'd in a letter prior to the person being added as a party. She needs to be able to copy from the roledex to a form letter once she has finished merging the form letter. Is this possible and if so, how?

Hi Cassy,

there are a few ways to do this. I'm not fully clear on the sequence of events as to when the transcriptionist knows the party or parties and whey they need to insert them.

The easiest way to do this if it's just one party, you could use a GetParty,AskAndSupress. Then use the GetPartySave and GetPartyLoad commands. The GetPartySave will save the current selected party and recall it later (since other getparty commands may be issued in the letter which would change.

If the information is simply not known until the actual letter is displayed or the transcriptionist prefers to select various information AFTER the letter is displayed (from the template), then you may also want to explore the ButtonMacro command. This ButtonMacro command allows the transcriptionist to click a button AFTER the letter is displayed on the screen right before printing and making final modifications to the letter.

It's the latter situation i.e. she needs to be able to copy from the roledex to the completed form letter. Is the "Button Macro" the control K macros, or another key I am missing. I can't seem to find that.

okay, now the question is....do you know ahead of time which name in the rolodex you want to include in the GetParty (ie: most would already be attached to the party list but one example might be your own firm name)?

Assuming you don't know ahead of time which name is to be included in the form letter that the transcriptionist is doing - there is no way to include everyone in the rolodex in a GetParty (that would be thousands to choose from). However, the transcriptionist can easily search the rolodex for the name they want in the form letter. Once they find the name in the rolodex, they just click the Other button (Alt-M). Then select ClipBoard Copy. Close out the rolodex (Ctrl-F4) or click the X in the upper right corner. Now, you are back in the form letter and the transcriptionist can position the cursor anywhere they like and type Ctrl-V to paste the information from the rolodex.

The copy to clipboard then paste with control V worked perfectly. Thank you. Our transcriptionist will now speak to me, (she wouldn't prior to this!)
