Adding Clients to the Rolodex

Dear Michael,
Our office is looking forward to the transfer over to A1.
I have a question about adding clients to the Rolodex. For the client card - -where you want to include the person's home address, would this information be placed on the Name (tab) in the dark grey address area? If so, on the Firm/Corp line would you type in the full name of the client? First name Last? Last, first?

Yes, that is correct.

No. Still, at the Name tab, you would type in the client's first name in the FIRST spot and their last name in the Last Spot. Leave the Firm blank. But, if you are representing a company or corporation and the company or corporation is your client then you would put that company/corporation name in the Firm spot and you might put the contact of that corporation you are representing in the First and Last name spot.

So if I understand this correctly, when I am attaching a Firm/Company to a client card, the long list of blank (at least for the Firmname) entries will all be client addresses? (In a way allowing me to separate out client addresses from business addresses?)

In general, the long list of entries will not necessarily be client addresses. For example, you may have an opposing law firm ABC Law Firm and you will probably enter the first and last name of the opposing attorney. In this common situation, you will not see ABC Law Firm in that long list of entries you are referring to.

The best way to separate the list is by category. Remember, whenever you enter anyone in the rolodex, you should specify who they are (applicant, employer, carrier, attorney, doctor, etc) in the category dropdown.

From that, A1-Law can "filter" off a category for mailing labels or whatever your needs may be. In fact, it is even possible that a doctor in one case could potentially be an applicant in yet another (even though they only need to be entered in the rolodex once).

Michael,

tell me what you would like to do and I'll let you know the best way to do it. There is a filter button in the rolodex which will even allow you to export a select list in the rolodex to Excel, Word or something else. But, most if not all offices don't need that because you can do so much right in A1-Law. Let me know what you would like to do or are you just "sort of" exploring.

I'm in the Rolodex. I just want to see a list of Attorney cards. How would I go about doing that?

Click the filters button (or just type Alt-F) and then enter the following filter:

upper(card.type) = "ATTORNEY"

Now, on another note, keep in mind that you may also search for a case like you normally do and enter ATTORNEY for the CARD TYPE. However, in that situation, you may see the attorney's name listed several times since they may be attached to many cases. But, I have an additional feature in the latest version (a unique checkbox) so that if you wanted to do labels or something you could do it that way as well and the name only prints one time.
