Dear Michael,
1. Our office has a question about Referral Sources in the system. If we have a client that is a referral source for several cases, we can have a single entry for the client in the Rolodex as "Client" and then change the Case Specific "Type" information at the Attached Parties Sheets to "RS" (Referral Source".
Now we have a problem:
If we wanted to do a report on referral sources how would you pick up this case specific information?
(Currently the only way I can see to tell if someone is a RS for some cases is to go to that specific card in the Rolodex + Pull Cases Attached To button - Click on each one to see if it is listed as an RS)
Problem is if we can't tell easily, we'll need to add the client as an RS into the Rolodex as well as a CLIENT.
Same for Doctors who are also RSes and the like.
Suggestions?
2. The same problem exists with Lein Claimants. There are some entries in the system which are not any other types (photocopying company, etc.) and are currently listed as LC. What about Doctors who are also Lein Claimants? Would you re-add them to the Parties sheet and change the Case Specific "Type" information to LC? Could you run a report that would see that information?
3. If a Client has Day and Evening Phone Numbers, where would you place that information in their Rolodex card?

Hi Michael,
1/2 Click Search for a Case and for the Card Type enter the category such as RS or LC. Then A1-Law will only pull the cases where the person you enter is attached as that type.
3. There is a spot for a home and business phone (ie: business for the day and home for the evening). Otherwise, you may enter it in the Comments.

The problem is that if you sort the generated list by name, the cards with names are alphabetized but not those with just firm names*. We would have to print out the list and then hand-count the firm names.
What would be the easiest way to generate a report of all your referral sources and the number of cases they have referred to you? In the last year? month?
*Would it be possible to look at the Rolodex so that not only are the Names Alphabetized but the first area with just Firm Names would be alphabetical as well? Would this then allow you to see search results that would have those with just firm names listed alphabetically followed by those with names listed alphabetically?
Thoughts? Suggestions?

You may scroll the results and double click on Firm Name to sort by the firm name instead.

One simple way is IF you are also attaching the referrals at the client card by clicking Case Dates (at the Case sheet of the client card) then enter the Date Referred and also Attach the referral source, you may run a Referral Report from the Reports icon. You may then specify the start and end dates for date referred. You may also specify one specific person who referred cases or everyone in a specific frame of time.

I could probably add a feature at the Search for a Case / Found cases to sort the firms alphabetically if there is no name. I'm still not fully understanding what you are after but check into the referral report.

If you have placed the Home number under the Personal Contact Information - Home spot, how would you pull this number into form letters?

No. The home phone number should go in Personal Contact Information under Home. The Telephone 1 spot should refer to a main business line for a company or firm. For example, a defense firm's main line would go there.
